Catapult seeks a Publishing Assistant to work across all departments and assist with general administrative tasks for the company. This entry-level role is a great opportunity for someone who wants to break into book publishing, but is not sure what area of the industry would be the best fit, or someone who prefers general administration. This role is full-time in our New York office, or a hybrid position. It is required that the Publishing Assistant come into the New York office a few days a week to complete tasks that cannot be done remotely.

Functions and Responsibilities include:

Maintain our NY office, including, but not limited to:
- Open, sort, and distribute mail
- Handle accounts/orders such as Spectrum account and payments
- Order office supplies, keep pantry stocked, and water cooler account active
- Maintain an organized office space
• Manage Adobe and Microsoft account assignments
• Manage the general email boxes; determine importance of emails and forward to appropriate person
• Assist in various Production tasks, such as maintaining ISBNs
• Provide support to our Finance team, including coding and processing invoices for various departments, requesting and filing bank information and tax documents from agencies/authors, downloading and compiling expense reports each month
• Data entry and media mailing support for the Publicity team, including mailing books or emailing PDFs for urgent media requests outside the normal weekly mailings, maintaining mailing spreadsheets, maintaining media contact sheet, and proofreading and entering publicity hits into needed tracking systems
• Manage weekly warehouse mailings, including tracking any lost packages
• Maintain inventory information for our advanced reading copies, including sending regular inventory updates to staff and organizing quantities requests
• Setting up seasonal tasks for departments as needed in Teamwork (a task management software system) and sending out regular deadline reminders for various departments
• General support to all teams as needed, including department heads and the publisher

Essential Qualifications/Requirements:

• This is an entry-level position. Admin experience or equivalent knowledge gained from prior experience is helpful, but not required
• Familiarity with Gmail and related Google Workspace applications, such as Google Docs and Google Sheets, is beneficial
• Strong communication, planning, and organizational skills
• Interaction with others in a professional manner
• Attention to detail; basic proofreading skills are helpful
• Adaptability/flexibility, creative problem-solving skills
• A high degree of initiative, independence, flexibility, discretion, and the ability to anticipate needs
• This role reports to the publisher, but will have extensive exposure to all managerial and non-managerial staff
• Salary is $42,000 per year
