THE OPPORTUNITY
The Assistant will support the Library & Educational Marketing team with conferences, awards, mailings, and other projects as needed. Work with the VP of Library/Educational Marketing on departmental and support tasks such as the planning and execution of sending seasonal solicitation materials to reviewers and influencer mailing lists; scheduling, tracking, and managing requests for promotional materials; and providing organizational support for departmental budget and expenses. Work with team on annual conference and event planning execution and awards mailings. Assist and brainstorm execution of educational supplemental materials and social media assets.
RESPONSIBILITIES
Reports to VP
Tracking/scheduling/troubleshooting reviewer and special mailings
Collect and send desk copy and promotional materials requests by reviewers, committee members and educators
Maintain and update publicity assistant database with contact entries and changes
Order and traffic marketing promotional items (galleys, posters, bookmarks, etc) for annual convention use and review copies for big mouth list
Compile and submit Travel & Expenses Corporate events report
Departmental
Submit and track book orders for conferences, author programs and literary events
Process and assist with submissions for national and state awards
Create power point slide-shows, handouts for conferences and book previews
Liaison with Corporate Conventions team to manage logistics, including graphics, social media assets, e-newsletter blasts, and promotional materials
Order and tracking marketing promotional items (galleys, posters, bookmarks, etc) for annual convention/events use and review copies for Ed/Library/Conventions marketing team
Submit author reimbursements for conference related expenses
Open and track jobs for signing schedule, booth graphics and social media assets
Brainstorm and assist with the creation of educator supplemental materials (posters, postcards, etc) for conventions and promotions​
HOW YOU CAN FIT (Qualifications)
Bachelor's Degree.
0 to 3 years of publishing, marketing and/or events experience.
Strong work ethic and a demonstrated commitment to complete quality work on time.
Direct experience working with authors and a deep appreciation of books.
Experience in children's books and specifically trade marketing a plus
Self-motivated, able to work independently as well as in a team
Ability to multi-task and thrive in a fast-paced environment
Highly organized; able to communicate effectively, efficiently, and meet deadlines.
Excellent communication, writing, & presentation skills
