SUMMARY: Provide administrative assistance to Publishing Operation Group

• Weekly meeting prep:
o Paper meeting (agenda management, weekly email alerts, compiling estimates, routing grids through the dept.)
o Pub Board (pull information from emails to Prod. server location)
• Invoice processing
o sort and track incoming invoices
o route invoices through two rounds of approval within department
o compile and transmit approved invoices to AP
o troubleshooting invoice queries from vendors with AP
• Run and distribute weekly reports:
o Production reports (Kids, Adult, Press/Overlook, Cernunnos)
• Archive file management
o Track incoming archive files and update TMM and provide weekly recaps for digital team
o Chase-up delayed files, troubleshooting issues with vendors, PMs, and digital
• Seasonal paperwork and file set-up
o Generate grids and paperwork for seasonal bid process
o creating transmittal forms and file folders
• Reprint support
o Processing weekly estimate requests and compiling incoming quotes for Inventory
o Basic PO set-up and scheduling
• Misc. special projects
o Generate ad hoc reports
o TMM data entry
o file archiving
• In-office only:
o handle in-coming and outgoing mail
o receive and route advances
o maintain departmental storage area and materials

• Bachelor’s degree preferred
• Ability to work independently and follow through consistently on assignments
• Detail oriented: Position requires accuracy and careful attention to detail
• Excellent communication and time management skills
• Must be highly organized, energetic, and able to juggle multiple priorities efficiently and calmly
• Knowledge of Microsoft Word and Excel and PowerPoint required
• A passion for pop culture and children’s entertainment a plu
