American College of Obstetricians and Gynecologists (ACOG), a membership organization dedicated to the advancement of women’s health care in Washington, DC, is currently seeking a Fulfillment Specialist to assist in the management of distribution/fulfillment for the College’s publications and multimedia inventory.


Publication Fulfillment
• Provide superior customer service. Constructively and consistently resolve problems. Answer customer questions and resolve customer complaints. Handle customer calls, inquiries. Prepare and provide price quotes and invoices.
• Triage and respond to customer purchase orders, Amazon orders, and
• Manage and maintain a log of ACOG’s in-house orders. Send in-house orders to sales for processing. Follow up with sales to confirm the in-house orders are processed. Send monthly report of in-house orders to Finance.
• Price and track bulk orders including those with the government and military. Provide price quotes and prepare invoices. Arrange logistics with the distribution center, ensuring sufficient inventory is in stock, and ordering additional inventory through the Publications Department.
• Resolve customer order discrepancies and disputes with drop-ship vendors. Verify invoice accuracy, code/submit for payment.
• Coordinate distribution agreements with customers. This may involve producing standard contractual agreements for specified products and arranging the establishment of a customer account with the distribution center.
• Prepare royalty reports for various medical associations and other vendors with agreements that result in royalties due. Prepare check request and submit for approval.
• Manage and maintain compliance with third-party vendor or government portals.
• Assist in the maintenance of inventory of all ACOG products. Monitor inventory and reorder products to maintain a sufficient level of stock.
• Review inventory daily utilizing Quickbase and Smart Reports. Investigate and resolve inventory problems.
• Process inventory receiving reports and confirm that product orders are received per ACOG’s purchase orders.
• Maintain stock to meet anticipated sales. Monitor and work to minimize backorders. Coordinate needed reprints with the Products and Publications Department and other departments.
• Order reprints of professional publications and product resellers.
• Review, code, and maintain accounting records for all Department reprints. Review distribution center invoices for accuracy, code, and submit for approval.
• Serve as the liaison to the distribution center.
• Coordinate timetable with financial statement auditors and distribution center staff for year-end inventory. Coordinate travel to warehouse site to perform on-site test counts to ensure the accuracy of product counts.
• Verify the accuracy of monthly and weekly reports from the distribution center. Resolve discrepancies with the distribution center and adjust procedures accordingly.
• Discuss product packaging requirements for inventory shelving, pick/pack handling and shipping with marketing and developing departments.
• Convey a pick/pack handling plan for multiple product items to the PBD account representative.
• Ensure new products are recorded in PBD Quickbase report system.


• Bachelor’s degree in accounting, business administration, marketing or other related field preferred.
• Must have at least 3-5 years of relative experience.
• Experience maintaining online bookstores, knowledge of HTML and Able Commerce Builder or comparable software helpful.
• Knowledge of inventory and distribution center management.
• Familiar with Microsoft Word, Excel, and PowerPoint.
• Excellent oral and written communication skills.
