Position Description:

The Billing and Collection Specialist will manage and execute the billing and collection process of overdue subrights and permissions payments and statements. Responsibilities will also include being the first point of contact for the Subrights Accounting department, corresponding and coordinating with parties both in-house and outside.

Major Responsibilities:

• Act as the main point of contact for the Subrights Accounting Team: Manage the shared Subrights Accounting inbox, read/respond/forward emails received; maintain correspondence log; follow-up with in-house and outside parties on missing items
• Manage and execute the collection process: run projected income reports; communicate and coordinate with the Subrights and Permissions groups to accurately identify overdue statements/payments; generate and issue invoices/emails for such overdue statements/payments; send chasing inquires and track status
• Act as liaison between Subrights and Tax groups for relevant tax forms
• Handle setup forms and online vendor setup requests received from customers
• Review and enter unearned statement information into Bradbury Phillips
• Coordinate and handle invoicing, collection, and royalty reporting for Co-Pub agreements with sister companies
• Perform other tasks and projects assigned by Subrights Accounting Manager

Required Skills / Knowledge:

• Very strong verbal and written communication skills; fosters open lines of communication
• Strong computer skills: comfortable with databases, queries, and spreadsheets—Intermediate Microsoft Excel user
• Be analytical, deadline- & detail-driven
• Can exercise discretion, good judgment, and work independently
• Flexibility and composure to deal with frequent changes, delays, or unexpected events
• Meets challenges and problems with resourcefulness; focuses on finding solutions, not placing blame

Experience Needed:

• 2-3 years of relevant work experience, preferably in book publishing; have an interest in book publishing
• Familiarity with Bradbury Philips or royalty systems a plus

Educational Background Required:

• Bachelor’s Degree or equivalent experience (Accounting/Finance preferred)
